Identify the failed step before retrying
An upload problem can happen before attachment, during transfer, or after a file appears attached but its content is not interpreted as expected. Those are different problems. Record what you can observe before changing the file, browser, or account.
This checklist is based on official documentation checked October 23, 2026. It is a diagnostic workflow, not a claim that GuideHollow reproduced every error or tested a personal account. Limits and interface labels can change.
Record a minimal diagnostic note
Use a local note with the exact error text, time and time zone, client, file extension, approximate size, and the last successful step. Do not include the confidential file itself in an ordinary support note.

Keep “result” empty until you observe it. This prevents a proposed fix from becoming a reported success when you hand the problem to someone else.
Match the symptom to a useful next check
| Symptom | Check first | Avoid concluding |
|---|---|---|
| File cannot be selected or format is rejected | Supported format and whether the file opens locally | That renaming the extension converts it |
| “Upload limit reached” | Intended account, shown retry time, current official limits | That a small file bypasses an account limit |
| Transfer fails on a managed network | Approved network configuration and service status | That the document itself is corrupt |
| Attachment appears but an answer misses content | Relevant passage, text extraction, and file handling | That transfer failed or the whole document was read |
These are triage clues, not guaranteed diagnoses. A single symptom can have several causes.
Check the file without changing the original
Open a copy locally and verify that it contains what you expect. An extension is a label; changing “.gdoc” to “.pdf” does not export a document. The official upload guide specifically distinguishes unsupported shortcut formats from exported documents.
If you need a comparison file, create a tiny TXT file containing only “Diagnostic sample: alpha, beta, gamma.” Upload it only if your account and organization permit the test. Ask the assistant to repeat the three words, then compare manually. This isolates a simple text path; it does not validate your original PDF, tables, or confidential document.
Do not place real personal information in a disposable test file. Do not overwrite or delete the original while investigating.
Separate rate limits from storage and file size
Read the current official upload page for the limit that matches the error. Per-file restrictions, rolling upload limits, and saved storage address different resources. A smaller attachment may help a per-file problem while doing nothing for a rate limit.
If the error gives a retry time, wait for it. Repeated retries are not a neutral experiment: the current documentation notes that failed attempts may count toward upload limits. Do not delete saved files merely to “reset” a rolling limit without understanding which resource is full.
Check service and network conditions safely
Open OpenAI Status to inspect relevant incidents. A green status page does not prove your account or network is healthy, but a matching incident may explain why repeated local changes do not help.
For a managed network, share the exact hostname/error with your IT administrator and use the official network guidance. Do not bypass organization controls, disable certificate validation, or upload confidential material to an unapproved alternative service.
A permitted comparison between an approved client or network can narrow the problem. Change one variable and record the outcome; changing everything at once makes a successful retry hard to explain.
Distinguish upload success from content coverage
Once the file is attached, ask about one known passage and compare against the original. A correct answer about one section is not proof that every page or embedded image was processed. For image-heavy material, follow the product’s current supported workflow and verify the relevant content directly.
If the file arrives but the summary loses a condition, use the document summarization workflow rather than restarting the upload repeatedly.
Escalate with evidence and a clear limit
If the problem remains, use the official support route and provide the diagnostic note plus an appropriately redacted screenshot or request identifier if available. Do not post account emails, session cookies, tokens, or private files in a public forum.
State what you observed, what you tried once, and what remains untested. Until a retry actually succeeds, record the upload as unresolved. Use the response checklist before relying on any later answer about the file.
